Introduction:

The mission of the Âé¶¹´«Ã½Ó³»­ (“Âé¶¹´«Ã½Ó³»­”) is to enhance member career fulfillment and promote brain health for all. To do that, we support the unique needs of all Âé¶¹´«Ã½Ó³»­ members; personalize member communications and the member experience; educate members in a manner that allows them to provide high-quality care in an ever-evolving health care environment; advocate for members and their patients; provide a wide range of resources that support members throughout their careers; and promote neurology and neuroscience research and training globally.

The mission of our subsidiary, the Âé¶¹´«Ã½Ó³»­ Institute (“Âé¶¹´«Ã½Ó³»­I”), is to promote the highest quality patient-centered neurologic care. Âé¶¹´«Ã½Ó³»­I is one of the world’s leading sources of neurology research grants for early career neurologists and beyond. Âé¶¹´«Ã½Ó³»­I provides patients, caregivers, and members of the public with resources on brain disorders and brain health, and supports neurological research that advances the understanding, prevention, and treatment of neurological disorders.

To assist us in achieving our mission, we collect and process certain information you provide us. We work hard to be good stewards of your information. This privacy policy is meant to help you understand what information we collect, why we collect it, and how you can update, manage, export, and delete your information. When this policy uses the word “including” to refer to specific examples, the word should be understood to mean “including but not limited to.”

This policy applies to the websites and online services operated by the Âé¶¹´«Ã½Ó³»­ ("Âé¶¹´«Ã½Ó³»­") and its subsidiary, the Âé¶¹´«Ã½Ó³»­ Institute ("Âé¶¹´«Ã½Ó³»­I"), including aan.com (which primarily serves Âé¶¹´«Ã½Ó³»­ members) and brainandlife.org (which provides patients, caregivers, and members of the public with resources and information about brain disorders, brain health, and opportunities to support Âé¶¹´«Ã½Ó³»­I's research program). It applies to all users of these sites, whether or not you are an Âé¶¹´«Ã½Ó³»­ member. Where a particular practice applies only to members or only to a specific site or audience, we say so.

By using our websites and services and sharing information with us, you agree to this policy and consent to the collection, use, and disclosure of your information as described here. If you do not agree, please discontinue use of our websites and services. Donors to Âé¶¹´«Ã½Ó³»­I should also consult the Âé¶¹´«Ã½Ó³»­ Institute Donor Privacy Policy Terms below, which provide supplemental terms applicable to charitable contributions. This policy does not govern the practices of third parties, such as our partners, service providers, or advertisers; any information you provide to third parties is governed by their own privacy policies and terms, which we encourage you to review.

What do we collect and how:

Aggregated web traffic information
General traffic, site usage, browser information, length-of-stay information, and location data is collected and stored in log files. We generally use this information in aggregated form for statistical analysis. In some cases, such as when you are logged into a member account, this information may be associated with your Member ID or other information that identifies you.

Personal information (non-financial) 
Personal information is information that, either alone or in combination with other information, identifies a person. The types of personal information that the Âé¶¹´«Ã½Ó³»­ and Âé¶¹´«Ã½Ó³»­I collect through aan.com, brainandlife.org, and our other services-from members and from non-member users such as patients, caregivers, donors, and other members of the public-may include:

  • General information (e.g., names, e-mail addresses, postal addresses, Internet protocol addresses, mobile/landline business/personal telephone numbers, and country of residence);
  • Professional information (e.g., educational and training background, medical licensure date and state(s), work setting, profession, principal subspecialty fields and certifications);
  • Demographic information for diversity or accessibility purposes (e.g., racial or ethnic origin, age, sexual orientation, and disability data), if voluntarily provided; and
  • Âé¶¹´«Ã½Ó³»­ mobile apps may use geographic data to enhance user experience by providing direction and messaging for key events.
  • Âé¶¹´«Ã½Ó³»­ obtains contact details and other personal information regarding media contacts and influencers from a variety of sources including Cision. If you wish to know more about how such information is collected and used, please refer to Cision’s privacy notice at cision.com.

The product or service that you seek will determine the specific personal information collected. We need to collect and process this information to successfully meet your needs and expectations, such as through delivery the products/services you purchased or requested, and other purposes listed in this policy.

Brain health and patient resources
We provide information for patients, caregivers, and the public about brain disorders, brain health, and ways to support neurological research. Browsing or reading these resources does not require you to provide health information, and the resources are provided for general educational purposes only and are not medical advice or a substitute for the advice of a qualified health care provider. If you choose to share information about a health condition—for example, when you contact us, respond to a survey, or sign up for condition-specific resources or newsletters—we will use that information only to respond to your request and to provide the resources or services you have asked for, and we will not use it for unrelated purposes without your consent.

Financial information
When you place an order online with us, donate, register for a conference, or pay your dues electronically, standard credit card information (card number, card type, expiration date, etc.) is collected through a third-party payment processing vendor that is compliant with Payment Card Industry data security standards. The third-party processor provides us with, and we store, the last four digits of your credit card number, which is retained for purposes of issuing applicable refunds.

What we do with the information we collect:

We process your information for the legitimate interest of communicating with members, meeting attendees, and other users about, and to provide access to, top-quality education and science via the Âé¶¹´«Ã½Ó³»­'s conferences and online learning programs (including abstract and syllabi submission and dissemination), tools for practice management and patient education (including clinical practice guidelines), publications, and other products and services pertinent to the Âé¶¹´«Ã½Ó³»­'s promotion of the highest quality patient-centered neurological care and efforts to enhance Âé¶¹´«Ã½Ó³»­ member career satisfaction. We also process member information for research and analytics to better understand the neurology workforce, support our members, and advance our mission. The Âé¶¹´«Ã½Ó³»­ exists for the benefit of its members and through the support of its members. 

For non-member users of our public resources—including patients, caregivers, donors, and other members of the public—we process your information based on our legitimate interest in providing brain health education and patient resources, responding to your requests, and supporting Âé¶¹´«Ã½Ó³»­I’s research and fundraising activities, or based on your consent where required by law. You may contact Member Services at memberservices@aan.com with any questions about this processing.

Processing your information for the purposes described is necessary for us to do what we do and it's in both of our interests. When we use your information based on our legitimate interests, we conduct a balancing test based on the legitimate interest, necessity of processing your information, and how such processing impacts you. If you have any questions or concerns with us processing your information for this legitimate interest, please email Member Services at memberservices@aan.com. We'll ask for your consent before using your information for a purpose that extends beyond what you may reasonably expect from a medical specialty society and that has a more significant privacy impact. Consent for changes that do not involve sensitive personal information may be obtained through notice and opt-out.

We process your personal information as needed to legitimately provide our products, services, websites, apps and their functionality to you, including the following purposes:

  • Âé¶¹´«Ã½Ó³»­ Member customized website: To use our member-only resources and personalization features on the website, we ask Âé¶¹´«Ã½Ó³»­ members to provide a unique user ID and password. Our web server tracks domain names and IP addresses of visitors to the member-only area to measure usage, such as the number of visits, pages visited, and average time spent on the site. When you are logged in, we may associate this activity with your Âé¶¹´«Ã½Ó³»­ Member ID. We may also collect and track your contact information (address and phone number) and Âé¶¹´«Ã½Ó³»­ Member ID number. As an Âé¶¹´«Ã½Ó³»­ member, when you personalize the website, we retain the preferences you select so that you do not have to reenter the information each time you access our website. You can access your profile by entering your username and password each time you use the website.
  • Registration: If you register to participate in an Âé¶¹´«Ã½Ó³»­ conference or program we collect and store personal information, including general contact information, professional information (including Âé¶¹´«Ã½Ó³»­ membership profile data), and certain demographic information.
  • Membership application: If you apply to become an Âé¶¹´«Ã½Ó³»­ member we collect and store personal information, including general contact information, professional information, and certain demographic information.
  • Requests: We collect information volunteered by users, including from surveys or requests via "Contact Âé¶¹´«Ã½Ó³»­." We also may collect contact information of those who communicate with us via email.
  • Âé¶¹´«Ã½Ó³»­ Member Directory: We disclose the contact information Âé¶¹´«Ã½Ó³»­ members provide in the Âé¶¹´«Ã½Ó³»­ Member Directory. The directory is a reference tool for Âé¶¹´«Ã½Ó³»­ members only. Users of the directory may not provide the contact information (name, email address, phone number) contained in the directory to others or use it for promotional or survey purposes without the written permission of the Âé¶¹´«Ã½Ó³»­. Excessive use or abuse of the directory may result in loss of access for the user. The Âé¶¹´«Ã½Ó³»­ will not disclose your contact information to the Âé¶¹´«Ã½Ó³»­ Member Directory unless you consent.
  • Online products/programs: If you purchase an Âé¶¹´«Ã½Ó³»­ online program or product we collect and store personal information, including general contact information, professional information (including Âé¶¹´«Ã½Ó³»­ membership profile data), and certain demographic information.
  • Workforce research and analytics: We may use member information for US neurologists and advanced practice providers (APPs) who are actively practicing for internal research and workforce analytics to support the Âé¶¹´«Ã½Ó³»­'s mission and better understand the neurology workforce, including identifying members by subspecialty and analyzing practice patterns. To conduct this research, we will provide limited member data to our contracted researcher solely to identify each member's National Provider Identifier (NPI) number. The identifiable data accessed by the researcher for this NPI identification purpose may include member names, state, sex, race/ethnicity, subspecialty information, practice patterns (research percentage, clinical percentage, etc.), and provider type (neurologist or APP). Once NPIs are identified, the researcher will use only the NPI numbers, with no identifiable member information, to link to publicly available Medicare and Medicaid claims datasets for workforce analysis. The researcher will minimize retention of identifiable data used solely for NPI matching and will segregate or delete linkage keys containing direct identifiers from working datasets. Any research findings from this workforce analytics will be published only in aggregate form at the state or hospital referral region level, with no individual providers identified. We will suppress or modify small cell counts to prevent inadvertent re-identification of individual members, particularly in geographic regions or subspecialties with limited practitioners. We will not sell or share identifiable member information with third parties. Any researchers conducting this analysis on our behalf are contractually prohibited from any secondary use or disclosure of identifiable data and act solely as data processors under our instruction. U.S. members may opt out of this workforce research use by contacting Member Services at memberservices@aan.com.
  • Development efforts: We may use information collected for development efforts to promote and invest in research across the whole spectrum of brain disease. We may use information about US members and Brain&Life subscribers and obtain additional information from publicly available sources and third-party data providers, to conduct prospect research and analysis, including estimating capacity to give, philanthropic interests, and engagement, to support our fundraising and stewardship efforts. We do not provide sensitive personal information to third-party data sources. Your continued use of our services and publications constitutes your consent to this expansion. With whom we may share personal information:

We share your personal information with third parties who provide certain services to the Âé¶¹´«Ã½Ó³»­ to assist us in meeting business operation needs. These third parties are authorized to process your personal information, on our behalf and pursuant to our instructions, only as necessary to provide these services to us.

Where applicable, we share information with:

  • Our subsidiary, the Âé¶¹´«Ã½Ó³»­ Institute;
  • Trusted vendors or researchers, including those in the following categories to help fulfill our mission and process your information for the purposes described above;
  • Law enforcement agencies, government bodies, regulatory organizations, courts or other public authorities if we must, or are authorized to by law; and
  • A third party or body where such disclosure is required to satisfy any applicable law, or other legal or regulatory requirement.

You may be asked by Âé¶¹´«Ã½Ó³»­ vendors to consent to their processing and retention of your information, and that processing and retention will be subject to their privacy policy.

We only provide our trusted vendors with access to personal information if required to deliver the requested services. These companies are prohibited from using that information for any other purpose. In certain situations, the Âé¶¹´«Ã½Ó³»­ uses single sign-on to allow some of our vendors to access certain personal information you’ve provided to the Âé¶¹´«Ã½Ó³»­, including your name, email address, membership information, etc., to support more seamless conference registration (by pre-populating fields and improving data quality) or other use cases, in compliance with this policy.

What are cookies and how do we use them:

As part of offering and providing customizable and personalized services, we use cookies and other online tracking technologies to store and sometimes track information about you to:

  • Provide you with personalized content based on your use of our website
  • Enable you to more easily use our website by remembering and using contact information, purchasing information, and registration information
  • Evaluate, monitor, and analyze the use of our site and its traffic patterns to help improve our website and services
  • Assist us with ad reporting functions such as to learn which ads are bringing users to our website

Pixel tags: We also employ a software technology known as a pixel tag or web beacon. A pixel tag is a line of code that we place on our websites or in emails that allows us to analyze our advertising and the general usage patterns of visitors to our websites. These help us better manage content on our site by informing us what content or promotions are effective.

The categories of cookies and similar technologies we use include: (1) Strictly necessary cookies, which are required for the website to function and cannot be switched off in our systems and do not store personally identifiable information; (2) Functional cookies, which enable enhanced functionality and personalization and may be set by us or by third-party providers whose services we have added to our pages; (3) Performance cookies, which allow us to count visits and traffic sources so we can measure and improve the performance of our site; and (4) Targeting cookies, which may be set through our site by our advertising partners to build a profile of your interests and show you relevant advertising on other sites. Indirect collection – social networking: The website permits you to use a third-party social networking platform such as Facebook, Instagram, X, YouTube, and LinkedIn. This includes use of social media plugins such as Facebook “Like”, Post, etc. When you use these social networking platforms and plugins, your username and password for the available service or collected from you on these services may be shared with us. We also use the ShareThis plugin to allow you to easily share information from our website on various social networking platforms, email, or text message. You control when you share information from our website using the ShareThis plugin. When you use social networking platforms and plugins, you share your information with them and their privacy policy applies to disclosure of such information. In addition, they may be able to collect information about you, including your activity, or may notify your connections on the social networking platform about your use of the website. Such services may allow your activity to be monitored across multiple websites for purposes of delivering more targeted advertising. Indirect collection – analytics: Our website uses Google Analytics, a web analysis service of Google, Inc. (“Google”). Learn more from their Terms of Service and Privacy Policy.
We use Google Analytics to analyze the use of our website. In some cases, the information we share with Google Analytics may be associated with your Âé¶¹´«Ã½Ó³»­ Member ID.

We monitor the performance and errors of our website software using Sentry. Learn more from Sentry's privacy policy.

Choices you have about your information:

If you are a registered user of the Âé¶¹´«Ã½Ó³»­’s website, an Âé¶¹´«Ã½Ó³»­ member, or attendee, you can review, correct, and change your personal information and your communication preferences by logging into the website and visiting your account profile page. You may also send us an email at memberservices@aan.com to request access to, correct, opt-out of certain uses of personal information, or delete any personal information that you have provided to us. Please note, we may not accommodate a request to change information if we believe the change would violate any law or legal requirement or cause the information to be incorrect.

Âé¶¹´«Ã½Ó³»­ vendors, as described in this policy, who you engage with directly will provide information on reviewing, correcting, or changing your personal information or communication preferences.

You may have heard about “Do Not Track” (DNT), which is a privacy preference that users can set in their web browsers. Our website does not respond to DNT signals. However, we recognize Global Privacy Control (GPC) signals and treat a GPC signal as a request to opt out of targeting cookies and similar tracking for that browser. Except for cookies used for analytics, remarketing, and other features described above, our website limits tracking to the internal uses described above and does not track your use across multiple websites. We cannot speak for other third-party websites you may link to from our website, so please review their privacy policies to understand how you may be tracked.

How we protect your information:

We have appropriate security measures in place to prevent personal information from being accidentally lost or used or accessed in an unauthorized way. We limit access to your personal information to those who have a genuine business need to know it. Those processing your information will do so only in an authorized manner and are subject to a duty of confidentiality.

We also have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.

While we take reasonable steps to protect your information, no method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security. Please consider this before submitting your personal information to us.

How long we keep your information:

We keep your information only so long as we need it to provide the service you’ve requested of us (including membership, meeting attendance, publication subscription, etc.) and fulfill the purposes described in this policy. When we no longer need to use your information for the purpose we collected it and there is no need for us to keep it to comply with our legal or regulatory obligations, we’ll either remove it from our systems or depersonalize it so that we can't identify you. Âé¶¹´«Ã½Ó³»­ vendors, as described in this policy, may have different retention periods for your information, which you should discuss directly with the applicable vendor.

Our policy on children's information:

If you are under 18 years of age, you may not purchase products or services from, and you should not provide information to, our websites without the involvement of a parent or guardian. We do not collect online contact information without prior parental consent or parental notification, including an opportunity for the parent to prevent use of the information and participation in the activity. We do not knowingly solicit personal information online from, or market online to, children under the age of 13. The resources available on brainandlife.org are intended for a general adult audience, including patients and caregivers; if you are a parent or guardian seeking brain health information on behalf of a child, you, rather than the child, should provide any information requested through the site. If you believe a child has provided us with personal information, please contact us at memberservices@aan.com so that we can delete it.

For our friends in the EU:

This Privacy Policy includes information applicable to European Union (“EU”) residents or users accessing the website in the EU. If you are an EU resident, this Privacy Policy provides you with information regarding your rights under the EU General Data Protection Regulation (“GDPR”).

Transfer of personal data
The Âé¶¹´«Ã½Ó³»­ and our websites are based in the United States and, regardless of where you access the website, the information collected as part of that use will be transferred to and maintained on servers located in the United States, where data protection laws may differ from those in your country. By using the website and providing your information, you consent to the transfer of your personal data to the United States. Although there is risk in transmitting your information to a country that does not have adequate protection, the Âé¶¹´«Ã½Ó³»­ does take steps to secure your personal data.

Right to lodge a complaint

You have the right to lodge a complaint with a supervisory authority, in particular in your applicable Member State.

For residents of states with applicable privacy laws: 

Some U.S. state privacy laws may not apply to the Âé¶¹´«Ã½Ó³»­ or Âé¶¹´«Ã½Ó³»­I because of exemptions available to nonprofit organizations or because we do not meet the applicability thresholds under those laws. To the extent a state privacy law applies to us, and depending on your state of residence, you may have additional rights, subject to verification of your identity and to exceptions permitted by law. These rights are not absolute and may be limited as permitted by law, and may include: (1) the right to access and obtain a copy of the personal information we hold about you; (2) the right to correct inaccurate personal information; (3) the right to request deletion of your personal information; (4) the right to opt out of targeted advertising and the sale or sharing of your personal information; (5) the right to opt out of certain profiling, meaning the automated processing of your personal information to evaluate, analyze, or predict personal aspects such as your health, economic situation, preferences, interests, behavior, or location, where it produces legal or similarly significant effects; and (6) the right not to be treated differently for exercising any of these rights. How we make changes to this policy:

We may change this policy from time to time and if we do, we’ll post any changes on this page. If you continue to use our website after those changes are in effect, you agree to the new policy. If the changes are significant, we may provide a more prominent notice or get your consent, as required by law. If any provision of this policy is found to be invalid or unenforceable, that provision will be limited or removed to the minimum extent necessary so that the remainder of this policy remains in full force and effect. Consent for changes that do not involve sensitive personal information may be obtained through notice and opt-out.

1. Introduction

These Supplemental Donor Privacy Policy Terms apply to donors of the Âé¶¹´«Ã½Ó³»­ Institute (“Âé¶¹´«Ã½Ó³»­I”) and supplement the above privacy policy. The Âé¶¹´«Ã½Ó³»­I supports research that advances the understanding, prevention, and treatment of neurological disorders. Donations help fund innovative studies, early-career investigators, and programs that foster the next generation of neurologist researchers. Through this support, the Âé¶¹´«Ã½Ó³»­I plays a critical role in improving patient care and accelerating scientific discovery in neurology.

Âé¶¹´«Ã½Ó³»­I is a 501c3 nonprofit organization formed in the State of Minnesota, United States of America. These Supplemental Donor Privacy Policy Terms explain how and when Âé¶¹´«Ã½Ó³»­I and its affiliates collect and use the information you provide to us in connection with your charitable contributions and applies whenever you make a charitable donation with us in any form. Donations made online through our websites are also subject to the above Privacy Policy and Âé¶¹´«Ã½Ó³»­’s Terms of Use , which govern use of our online services and provide transparency into the ways in which we process data received from users of our websites.

2. Donor Information

Âé¶¹´«Ã½Ó³»­I collects and maintains the following types of donor information when you donate:

  • Contact information, such as name, address, telephone number and e-mail address
  • Giving information, such as gift date, gift amount, frequency, payment type, and source
  • Information you provide to us in connection with your donation, such as employer matching information, or “in honor of” requests
  • Information on events attended, publications received, and special requests for program information
  • Information provided by the donor in the form of comments, questions, and suggestions

This information is kept on file for record keeping purposes. It is also used to analyze overall giving patterns to make more accurate budget projections, as well as to understand donors’ interests in our mission and to update them on Âé¶¹´«Ã½Ó³»­I’s plans and activities. This information is shared with staff, board members, volunteers, and consultants of Âé¶¹´«Ã½Ó³»­I and Âé¶¹´«Ã½Ó³»­ on a confidential and need-to-know basis. To the extent you elect to make certain information public, such as the amount of your donation or the person in whose memory a donation is made, such information may be publicly disclosed.

3. List Sharing, Rentals and Exchanges

From time to time, Âé¶¹´«Ã½Ó³»­I sends, receives, shares, rents, and/or exchanges certain information related to its list of supporters with other organizations and third parties to benefit our mission, programs, and activities. We have found this to be the best method of reaching additional potential constituents while responsibly stewarding our resources, and we hope you value the information they send you. Your name, contact information, and giving information may be made available to carefully screened organizations directly or through third-party agents for limited uses. You will have the opportunity to opt out of receiving further communications from these organizations. We may also share your name and contact information with third parties to serve advertisements to you on behalf of Âé¶¹´«Ã½Ó³»­I or provide you services on our behalf. You have the opportunity to have your name removed from a list rental, exchange, or sharing program at any time by contacting our Donor Relations center at (800) 879-1960 or +1 (612) 928-6000 (International).

4. Discontinuing Contact Upon Request / Consumer Rights and How to Exercise Them

It is the policy of Âé¶¹´«Ã½Ó³»­I to communicate with donors according to their expressed preferences whenever possible. Âé¶¹´«Ã½Ó³»­I will discontinue or change the method used to contact any person upon that person’s oral, written, or email request directed to the organization as provided below, or using the appropriate contact information provided above in Âé¶¹´«Ã½Ó³»­’s Privacy Policy.

Upon a person’s (or a person’s authorized representative’s) request that Âé¶¹´«Ã½Ó³»­I discontinue further contact, the person’s name and address will be promptly modified in Âé¶¹´«Ã½Ó³»­I’s donor database to ensure that such type of contact is not made with the person in the future. Âé¶¹´«Ã½Ó³»­I will also take steps to ensure that similar contact is no longer made with the individual and that the person’s name is marked accordingly in any external databases or records under Âé¶¹´«Ã½Ó³»­I’s control. The foregoing does not apply to transactional communications: Âé¶¹´«Ã½Ó³»­I and its affiliates may still contact you with transaction-related communications, such as confirmation of your donation.

Donors who are residents of certain U.S. states may have additional rights, subject to verification of the donor request. Âé¶¹´«Ã½Ó³»­I provides the privacy rights accorded to you under your applicable state law, if any. 5. Donor Bill of Rights

Âé¶¹´«Ã½Ó³»­I subscribes to the Donor Bill of Rights, which was created by the Association of Fundraising Professionals (AFP), the Association for Healthcare Philanthropy (AHP), the Council for Advancement and Support of Âé¶¹´«Ã½Ó³»­ (CASE), and the Giving Institute: Leading Consultants to Non-Profits.

Philanthropy is based on voluntary action for the common good. It is a tradition of giving and sharing that is primary to the quality of life. To ensure that philanthropy merits the respect and trust of the general public, and that donors and prospective donors can have full confidence in the nonprofit organizations and causes they are asked to support, we declare that all donors have these rights:

I. To be informed of the organization's mission, of the way the organization intends to use donated resources, and of its capacity to use donations effectively for their intended purposes.

II. To be informed of the identity of those serving on the organization's governing board, and to expect the board to exercise prudent judgment in its stewardship responsibilities.

III. To have access to the organization's most recent financial statements.

IV. To be assured their gifts will be used for the purposes for which they were given.

V. To receive appropriate acknowledgement and recognition.

VI. To be assured that information about their donation is handled with respect and with confidentiality to the extent provided by law.

VII. To expect that all relationships with individuals representing organizations of interest to the donor will be professional in nature.

VIII. To be informed whether those seeking donations are volunteers, employees of the organization or hired solicitors.

IX. To have the opportunity for their names to be deleted from mailing lists that an organization may intend to share.

X. To feel free to ask questions when making a donation and to receive prompt, truthful and forthright answers.
